This Shipping Policy outlines our standard procedures, responsibilities, and the protocols we follow to ensure global distribution excellence.

1. Lead Times and Production Scheduling

As a direct-from-factory supplier, our shipping timelines are divided into two phases: Production Lead Time and Transit Time.

  • Standard Lead Time: For wholesale orders, the standard production lead time typically ranges from 14 to 30 business days, depending on order volume and customization requirements.
  • Order Confirmation: The shipping clock begins once the down payment is confirmed and all packaging artworks (for private labels) are approved.
  • Peak Season: During periods of high demand (e.g., Q3 and Q4), we advise partners to place orders at least 60 days in advance to secure production slots and vessel space.

2. International Commercial Terms (Incoterms)

To ensure clarity regarding costs, risks, and responsibilities, we operate under standardized Incoterms 2020. Unless otherwise specified in the sales contract, our default terms are:

  • FOB (Free On Board): We handle all costs and risks until the goods are loaded onto the vessel at the designated port of departure.
  • EXW (Ex Works): The buyer is responsible for the entire transport from our factory gates.
  • CIF (Cost, Insurance, and Freight): We arrange transport to the destination port and provide basic maritime insurance.
  • DDP (Delivered Duty Paid): Available upon request for specific regions, where we handle all customs duties and local delivery.

3. Packaging and Load Integrity

We employ rigorous export-grade packaging standards to minimize the risk of damage during long-haul transit:

  • Shock Absorption: Cookies and fragile items are secured in fluted paper cups within tinplate or plastic containers, which are then packed into heavy-duty corrugated master cartons.
  • Palletization: All shipments are professionally palletized, shrink-wrapped, and edge-protected to ensure stability during forklift handling and sea motion.
  • Container Optimization: Our logistics team utilizes specialized software to calculate the most efficient loading patterns, preventing “crush weight” and maximizing the use of space in 20GP, 40GP, or 40HQ containers.

4. Climate-Controlled Logistics (Reefer Options)

Given the high butter content of our premium products, temperature sensitivity is a priority.

  • Temperature Monitoring: For shipments traveling through tropical routes or during summer months, we strongly recommend the use of Reefer (Refrigerated) Containers maintained at a constant $18°C$ to $22°C$.
  • Moisture Control: We utilize industrial-grade desiccant silica gel packs within containers to prevent “container rain” and humidity damage to the packaging.

5. Documentation and Customs Clearance

We provide a comprehensive documentation suite to ensure smooth customs entry in the destination country. Standard documentation includes:

  • Bill of Lading (B/L).
  • Certificate of Origin (CO) or Generalized System of Preferences (GSP) forms.

6. Freight Tracking and Transparency

Upon the departure of the vessel or vehicle from our facility, we provide a Shipping Advice notice containing the tracking number, container number, and estimated time of arrival (ETA). While we do not control the operations of third-party shipping lines, we maintain active communication with freight forwarders to provide our clients with weekly status updates.

7. Inspection and Damage Claims

While we maintain a defect rate of less than 0.5% through our rigorous loading protocols, we recognize that transit accidents can occur.

  • Initial Inspection: Upon arrival, the buyer must inspect the external condition of the container/pallets before signing the proof of delivery.
  • Reporting Damage: Any visible damage or shortage must be noted on the delivery receipt. Formal claims must be submitted to our claims department within 7 business days of receipt, accompanied by high-resolution photographs and a joint inspection report.
  • Hidden Damage: For internal product damage not visible from the exterior, claims must be filed within 15 days of arrival.

8. Shipping Costs and Surcharges

Shipping quotes are provided based on the current market rates of our logistics partners. Please note that:

  • Freight Volatility: Quotes are typically valid for 7–14 days.
  • Demurrage: The buyer is responsible for any demurrage or detention charges incurred at the destination port due to delays in customs clearance or pickup.

9. Sample Shipments

For prototype or quality-check samples, we utilize express couriers (e.g., DHL, FedEx, or UPS). Sample shipping costs are generally borne by the requester unless otherwise negotiated, and tracking information is provided immediately upon dispatch.
